PRIVACY POLICY
The Canadian Criminal Justice Academy (CCJA) is committed to ensuring the fair and appropriate
handling of your personal information.
This Privacy Policy explains how we handle your personal information, whether you are a student
enrolled with us, a student considering enrolment, an employee or contracted instructor, or a visitor to
our website or Academy premises.
As a private company and registered training organization established under licence by Alberta
Education, Private Careers College Branch and by Alberta Justice and Solicitor General , CCJA applies the
privacy principles set out in Canada’s Personal Information Protection and Electronic Documents Act
(PIPEDA) and relevant requirements pertaining to our role as an education and training provider. The
privacy principles guide how we collect and manage your personal information, including (but not
limited to) :

ï‚· limiting collection of personal information to that which is necessary for our functions
ï‚· understanding our business purposes, and restricting our use and disclosure of personal information
in that regard

PERSONAL INFORMATION
Personal information is information that identifies you (or could reasonably lead to you being
identified). The types of personal information we collect, hold and manage depends on our relationship
with you. We collect personal information from our students and prospective students, employees and
contracted instructors, and people who visit our website or Academy premises – a non-exhaustive list of
which includes:

ï‚· contact information (such as email, phone, and address)
ï‚· age and gender
ï‚· information about your health, wellbeing and physical fitness
ï‚· emergency contact information
ï‚· enquiry information and your communications with us
ï‚· CCJA course enrolment and completion information
ï‚· education history
ï‚· payment information and history (re: students)/ payroll information (re: employees and
contracted instructors)
ï‚· employment history (re: employees and contracted instructors)
ï‚· website usage information, including through the use of ‘cookies’
ï‚· access and correction requests or privacy complaint information.

COLLECTING PERSONAL INFORMATION
In our interactions with you, we may collect a range of personal (including sensitive) information, and
we take care to handle this information appropriately.
We collect personal information when you:
ï‚· visit our website
ï‚· request us to contact you
ï‚· fill out a form (online or on paper)
ï‚· communicate with us (by phone or email)
ï‚· answer questions that we ask verbally
ï‚· use our online enrolment process
ï‚· pay for our services
ï‚· contact us via social media.
CONSENT
Consent is an important privacy concept that applies to our collection of your personal information and
how this information is subsequently handled by CCJA.
SENSITIVE INFORMATION
CCJA may collect your health, well-being, personal disclosure data, and physical fitness information,
which is considered sensitive information under PIPEDA. We collect this information where necessary
as part of our duty of care to students and employees. CCJA will ask for your permission before
collecting this information.
PERSONAL INFORMATION OF PEOPLE UNDER AGE 18
CCJA does not knowingly collect, or seek to collect, the personal information of children (people
under 18 years of age). If you believe that CCJA has collected and holds the personal information of
your child or a child under your guardianship, please advise us urgently so that we can identify and
securely destroy the information.
POSTING IMAGES TO SOCIAL MEDIA
CCJA will always ask your permission before publishing images of you to our social media accounts,
website or student prospectus. We will never publish your images unless we first have your
permission.
ACCURACY
Before we use your personal information, we may double check with you to make sure it is accurate,
complete and up to date. We encourage you to update your personal information with us, especially if
some time has passed since your last interactions with us.
Students and employees can keep personal information up to date by logging in to their Academy profile
page.

WHAT WE DO WITH PERSONAL INFORMATION, AND WHO WE GIVE IT TO
We use and disclose your personal information to:
ï‚· respond to enquiries
ï‚· understand your education needs
ï‚· register you with the CCJA as a student, employee or contracted instructor
ï‚· deliver the courses and other services you have enrolled in
ï‚· provide information and other communications to you
ï‚· request payment from you
ï‚· respond to your request to access or correct your personal information
ï‚· investigate and respond to a complaint made by you.
We do not sell or share personal information with any advertisers, sponsors, content providers, media
outlets, law enforcement or any other person or entity, unless:
ï‚· We have your express permission, or
ï‚· There is a lawful ability or requirement for us to do so.
KEEPING YOUR PERSONAL INFORMATION SAFE
We securely manage and dispose of personal information whether it is held in hard copy or electronic
format and whether it is stored on CCJA premises or in ‘the cloud’.
Your personal information (including employment or educational records) will be kept in accordance
with records retention and disposal requirements that apply to the CCJA. Once no longer required to be
kept, your personal information and records will be securely and permanently destroyed.
CCJA engages third party service providers to assist with our business, and we subscribe to social media,
as follows:
THIRD PARTY PROVIDERS
We use contracted third party service providers in a limited capacity to help us manage aspects of
our business, such as website hosting, student enrolment management and to process credit card
payments. Some of the personal information collected by us may, in turn, be managed in a local or
off-shore digital environment (‘the cloud’) by our service providers. It is a condition of our
agreements with these providers that we remain in control of what happens to the personal
information they manage on our behalf and that it is kept secure.
We also use contracted instructors for the provision of physical training and curriculum instruction.
These contracted instructors are licensed professionals within their various disciplines, and their
agreements with the CCJA include strict privacy and security requirements.
SOCIAL MEDIA
CCJA operates a number of social media accounts, including LinkedIn, Facebook, and Instagram; and
you may choose to engage with us using that medium.
CCJA only ‘pushes’ information (about our services) out via social media accounts. We never publish
images or information about you, or ‘tag’ you in posts, unless we have first received your permission
to do so. You may, however, choose to ‘tag’ yourself or otherwise share information about yourself
in that environment.
Before you send us information via our social media accounts, please be aware that personal
information supplied to us through or posted by us on any social media outlet becomes captured by
that outlet’s privacy policy. As such, you may choose not to share your personal information with us
via that medium.
INFORMATION SECURITY
Protection of personal information from unauthorized access and disclosure is a priority. Any concerns
about the security of personal information held by us should be reported to us without delay, by email:

ACCESSING AND CORRECTING PERSONAL INFORMATION WE HAVE ABOUT YOU
If we hold personal information about you, we are happy to tell you what it is. We will not, however, tell
someone else what personal information we hold about you (unless you permit us or there is a lawful
ability or requirement for us to do so).
We are also happy to correct or update your personal information where you feel that it is incorrect or
out of date. Students and employees can keep personal information up to date by logging in to their
Academy profile page. If you would like to access or correct your personal information, and you are
unable to do this via your Academy profile page, please get in touch with us by email: <admin@ccja.ca>
ANONYMITY
Due to the nature of our services, CCJA is generally unable to interact with students, prospective
students, employees and contracted instructors anonymously.
Where a person requests to interact with us anonymously (for example, when providing us with
feedback or making a complaint), we will honour the request where practicable.
COOKIES
Our website (<www.ccja.ca>) uses cookies. A cookie is a small piece of data that our website asks your
browser to store on your PC, laptop, smartphone or other device. Cookies act like signposts, markers or
tiny pieces of memory that enable us to give you the best experience possible when visiting our website.
ARE COOKIES A RISK TO MY PRIVACY?
No. The cookies deployed by our website are a combination of plain and encrypted text stored on
your device and, when you access <www.ccja.ca>, they allow the website to recognize you and
provide you with specific content or services. They cannot replicate (i.e., make copies of themselves),
execute pre-programmed functions, browse your device directories or otherwise fish for or seek out
your personal information. The files are unable to scan, copy, read or retrieve your personal
information.
CCJA does not use cookies to track your movement from our website to other websites. Except
Analytics, which you may opt out of (please see information about how to do this below), we do not
allow cookies to be used by third parties for advertising or other commercial purposes.
DO I HAVE TO ALLOW THE USE OF COOKIES?
No. However, the use of cookies by CCJA supports your use of our website, including the ability to
access your Academy profile page if you are a student or employee, and disabling our ability to
deploy them may prevent you from using our site with ease.
If you wish to disable, delete, prevent or clear cookies, you can follow the instructions available on your
web browser.
WEBSITE ANALYTICS
CCJA uses analytics to gather anonymous information about visitors to our website. This helps us
monitor and improve the website and improve your user experience.
Analytics uses cookies to gather information about how visitors use our website; such as, the number of
visitors we receive, the type of web browser used and which of our pages were viewed.
You can choose not to allow the collection of your information for the use of analytics by opting out of
Google Analytics.
